Vacancy Call for Admin and Finance Officer

The Social Changemakers and Innovators (SOCHAI) is a youth led non-profit organization, formed in 2017 to improve overall health, nutrition and socio-economic status of people, particularly women, children and girls through education, innovation and entrepreneurship at grass-root level. 

SOCHAI implements community based learning programs led by youth in partnership with local government, that are contributing to accelerating the progress in the SDGs 2 – Zero Hunger, 3 – Good Health and Wellbeing, 6 – Clean Water and Sanitation and 8 – Decent Work and Economic Growth. SOCHAI also focuses on product and business development that aligns with our vision and values for organizational sustainability and impact. 

SOCHAI is looking for a Admin and Finance Officer to work in its Finance department which implements overall financial strategies of all its programs and projects.   

The responsibility of Admin and Finance Officer includes:

3.1   Grant management and compliance

  • Manage and monitor overall partnership project budgets, expenditures, and disbursements.
  • Ensure financial records are up to date with the latest transactions in accounting software and manage online files and appropriate financial documentation.
  • Ensure that expenses are timely and appropriately requested, made, charged to the relevant budget line and cost centers. 
  • Manage banking transactions related to the project and prepare bank reconciliation statements on a monthly basis.
  • Compliance with TDS payment, E-TDS filing and tax return filing in accordance with Income Tax Act of Government of Nepal.
  • Maintain an inventory file to support purchases of all equipment/assets on a quarterly basis with physical verification.
  • Ensure full compliance with host organization’s rule & regulations and also with local laws, Social Welfare Council and donor requirements.
  • Prepare and coordinate for annual auditing of the program providing enough support to the auditor.
  • Analyze budget vs. actual expenditure of the program regularly and troubleshoot for any problems in the program grant management. 
  • Strengthen financial documentation and support the coalition for the same.
  • Maintain regular communication with regards to the program grant management with SOCHAI and donors and inform any issues potentially detrimental to the program and organization.

3.2   Operational Management

  • Monitor and manage human resources of the program including their contract renewal, salary and medical benefits, working hours, timesheets, leaves and any other requests as per the organizational policy.
  • Monitor and manage incidents of accidental property and asset damage and ensure insurance claims.
  • Handling and management of all the logistics and procurement as per the project requirement.
  • Review the travel request of staff and make travel and residential arrangements during field visit.
  • Comply with the organizational Financial and Procurement policies while making any procurement.
  • Liaise with product and business development team for product sales and revenue tracking and documentation as guided by financial policy 

3.3   Partnership Management

  • Build and sustain harmonious relationships with the donors, stakeholders, partners, taking into consideration of SOCHAI’s partnership principles.
  • Maintain regular communications with the partners and coordinate meetings for grant management purposes.
  • Organize capacity strengthening training to internal teams as well as partners related to financial management.
  • Conduct financial monitoring and support visits to project sites in coordination with SOCHAI.
  • Find solutions to meet financial project requirements as needed.

3.4   Organizational Development and Team Tasks 

  • Contribute to other shared program tasks of SOCHAI, such as joint financial planning and development, information scanning, visitor orientation, publication outputs, promotion of SOCHAI, and others. 
  • Contribute to and participate in organization-wide tasks, such as staff meetings, staff capacity development activities, annual retreat, evaluation and planning meeting, staff representation at Annual General Meetings, intern/volunteer/visitor orientation, and others. 
  • In collaboration with the SOCHAI’s Executive Board and Program Manager, provide substantive contributions to the development of funding proposals if and when required.
  • Assist SOCHAI’s Finance and Administrative Department as per the requirement. 

Reports to: CEO 

Duration: 12 Months with possibility of extension

Expected starting Date: 1st April-30th May 2022

Duty Station: Kathmandu

Salary: As per SOCHAI’s HR policy

Requirements:

  • Bachelor’s degree in Bachelors in Business Administration, business studies subject with 1 year of experience; (Final year student with proven experience will be considered)
  • Prior experience of grant management in any development sector (Preferable)
  • Excellent language skills in English and Nepali
  • Proficient in any accounting software
  • Experience of working with youth organization or a youth targeted NGO will be a plus;

  • Technical Proficiency: Have sound knowledge of Nepal Taxation rules and regulations and proficient in any accounting software preferable Tally.
