KOSHISH is a right-based organization working extensively in advocacy in and multi-disciplinary and holistic mental health and psychosocial support in Nepal. In addition, KOSHISH is also working in system strengthening and creating a model that the government and other stakeholders may able to replicate.

Desired Qualification and Experience 

  • Master's degree in finance, accounting or in similar field. Chartered Accountant or semi qualified Chartered Accountant having Bachelor's degree in finance or accounting are encouraged to apply.
  • At least 5 years of progressive experience in I/NGO is desirable.

Other Essential Qualities 

  • Excellent understanding of accounting principle, practices and system of NGO. 
  • Excellent written and verbal ability in English and Nepali language
  • Proficient in working with Microsoft office package
  • Advance skills in MS Excel
  • Ability to work independently
  • Empathy with mental health. 


Job Description

The Senior Admin and Finance Officer will be over all responsible for the financial management, accounting, budgeting, book-keeping, and preparing financial reports of KOSHISH. He is accountable in Finance controlling and management including fund raising mechanism as per value based to each rupee. He will overall lead the finance, account and administration unit in the organization and mentor the finance team.

MAJOR DUTIES & RESPONSIBILITIES

Finance:

  • Lead the admin and Finance unit as a focal person of organization.
  • Supervise, monitor and motivate subordinate Admin and finance staffs and supervise all over the financial transactions related to KOSHISH.
  • Strengthen overall financial system of KOSHISH.
  • Accounting and reporting of KOSHISH’s projects as decided by management committee.
  • Processing salary of the organization on timely basis.
  • Verify the cash and bank reconciliations of all accounts prepared by subordinate staffs on monthly basis.
  • Verify expenses submitted for settlement by project staff and vendors.
  • Visits the project sites; conduct the internal audit and share the observation to the Management Committee periodically. 
  • Prepare the annual budget and expense forecast of the organization.
  • Identify issues in accounting (vouching, authorizing and documentation) and recommend to management committee for resolution.
  • Reporting to the donor as per the requirement on timely basis.
  • Check the overall accounting and progress as per the compliance with the rules and regulations of the organization.
  • Review and compile legitimate expenses of the projects at the end of the period for preparation of financial statements.
  • Facilitate the external and internal financial audit of the organization. 
  • Adheres and ensure the policies of the organization executing properly without any conflict of interest
  • Overall financial management and ensures transparency and accountability of every money invested in the organization
  • Work towards the fund raising strategy in line with Program  
  • Monitor and update project specific variance status and issues related to finance to Program Director and the Executive Director on periodic basis.
  • Assist in developing sustainability plan of the organization in terms of finance etc
  • Ensures the financial control and cost efficiency in the organization on the overall finance
  • Preparing the annual budget and plan in each year by the mid December and present before the management committee 
  • Other duties as assigned by the organization.

Administration:

  • Develop and update organizational documents in coordination with the Program Director and with other team member for the authorization process of SWC, CDO, Tax Office, Municipality and other concern agencies.
  • Manage daily office operations and maintain courtesy with donor and guest visiting to office.
  • Monitor staff engagements and prevent immoral or misconduct activities by any staff
  • Cooperate and work closely with various committees formed by KOSHISH or under the policies.
  • Application of common cost policy while booking the expenses under various projects
  • Develop and or Review the TOR and MOUs with any parties before signing the contract
  • Process for contract agreement of parties and vendors in coordination with management committee.
  • Ensure the proper procurement process to purchase any service from the organization
  • Ensures the internal audit report and submit it to the Management Committee on the quarterly basis
  • Strengthen the system of book-keeping, inventory and fix assets of the organization, routinely monitor and update to the management committee.
  • Conduct periodic monitoring visits to project area including Safe House and provide feedback to management committee.
  • Prepare monthly plan and submit report regularly.
  • Takes part in the review meeting conducted by the supervisor and the organization regularly
  • Closely work with HR and Programme in line of the organizational alignments
  • Other administrative duties as assigned by the organization

Remuneration and benefits:
Negotiable; depending upon qualification and experience.
